This is a privacy policy for The White Cliffs Ramblers (the Group). 


General principles:

We are committed to protecting your privacy and maintaining the security of your data. 

We respect your privacy and will not sell your personal data to any third party. All  reasonable steps will be taken to prevent inappropriate disclosure of your personal  information.

Any personal information you provide will be treated in accordance with this policy and  current UK Data Protection legislation.1

If we intend to use your personal information for any additional purposes not described in  this policy we will always ask you for confirmation when you provide us with any details.

Personal information / data held

The Group receives personal information from its parent organisation (The Ramblers  Association) on the basis of details provided by individuals as part of their application for  membership. In becoming a member, consent has been given to this data being processed  in accordance with the objectives of the Ramblers Association.

(The Ramblers is registered as a data controller with the Information Commissioner for the  United Kingdom.)

The details supplied to the Group contain the following information:

• Name (first name; surname); and

• Address

• Contact details (telephone number / email address)

This information is held on behalf of the Group by the Membership Secretary and Secretary. In addition we may ask members to provide details of how they may be contacted  (telephone / mobile number and/or email address).

Uses of personal data

Address information is solely for distributing the programme of walks, sending out details of  events and for informing people of other relevant matters that may interest them.

Email addresses are used to broadcast:

• Late changes to the walks programme (e.g. cancellation of a walk or change of  location); or 

• Facilitate the conduct of a walk (e.g. reminder of the facilities available during a walk;  availability of car sharing arrangements).

Use of this email list is restricted to the Membership Secretary, and all requests for  announcements must be made through him / her. The Membership Secretary will be the final  arbiter as to the appropriateness of any message to be broadcast.

When sending email message, we will ensure that every person’s email address (except the  sender’s) goes in the “blind copies” (Bcc:) field, so that each recipient sees their own email  address and no other. (An illustration of how this works is given at the end of this policy).

The name and contact phone number for walk leaders will be published in the walks  programme. This is to enable potential walkers to clarify the details relating to a specific walk.

The name and contact details of the Group’s Committee will be published to ensure the  appropriate administration and governance of the Group.

There may be occasions when events are being organised (e.g. group holidays) where the  distribution of contact details will assist in the efficient organisation of that event. In these  circumstances we will only circulate your details, with your consent, to those participating /  organising the event. Once the event has taken place, participants will be asked to destroy  any circulation / distribution lists associated with that event.

The personal information held by the Group cannot be used to facilitate communications  between individual members.

Access to your own information

Under the terms of the Data Protection legislation an individual has the right to see their  own information that we hold.
